Q: Why is there a difference between REGISTRATION fees for RESIDENT and NON-RESIDENT delegates? (Day Delegates).

A: CONFERENCE HOTEL RESIDENTS

The £50 delegate fee applies to conference hotel residents and covers all aspects of the conference other than accommodation, meals (including wine on the table), and coffee. The £50 resident delegate fee covers venue hire, entertainment, speakers, guests, conference organisation expenses, printing, transport, hosting etc.

The accommodation cost (including meals, wine on the table and coffee) will be paid directly to the Hotel, in Part 2 of the booking process at the published package rates.

 

NON-RESIDENT DELEGATES (Day Delegates)

A number of Rotarians may choose to stay at other locations and attend all or part of the conference. Non-Residents do not pay the £50 delegate fee, but pay their share of the delegate fee costs, through the non – resident fees, depending which session they choose to attend.

 

e.g. CONFERENCE ONLY ATTENDEES ARE NOT PAYING TOWARDS DG BALL OR ENTERTAINMENT BUT ARE CONTRIBUTING TOWARDS VENUE HIRE, SPEAKERS AND CONFERENCE ORGANISATION.

If  NON-RESIDENT Rotarians wish to attend the Friday Entertainment (with Meal and Wine) and/or the Saturday DG Ball (with Meal and Wine), they are paying their share of the relevant entertainment costs and the same meal / wine costs as Resident attendees, in the scale of fees as published. Our contract with the venue does not allow delegates to attend the entertainment/DG Ball without participating in the meal. DGE Allan wanted this conference to be inclusive and as the venue is “Self Contained” wanted Delegates to dine together and enjoy Rotary Fellowship.

The various options are to give as much choice as practical to potential attendees and to try and make the costs of the conference fair to all, irrespective of where they choose to stay.

Q: Why does the “Information Leaflet – Delegate Registration/Hotel Booking (Part1)Registration” state “The closing Date for Registration is 30th June"?

A: This needs clarified. Our contract with the Venue has reserved all of the hotel rooms in the complex, up to the 30th June 2010.After that date we have to hand back to the hotel the rooms that have not been taken by registered Rotarians allowing the Venue to place these rooms on an availability list for visitors to Aviemore. Had we not agreed to these conditions we would have to accept the cost of all rooms whether they were taken by Rotarians or not. Should Rotarians wish to Register and book rooms after 30th June we will accept the applications and “on a best endeavor basis” negotiate with the venue to obtain the rooms requested. The Venue has agreed that if the rooms have not already been sold we can have them back at the special conference rate. Hence the reason for the wording in the Information Leaflet.

Q: Will the conference dinners be in our hotels or all together?

A: Dinners on Friday evening (informal) and Saturday evening (formal) will be in the Osprey Arena of the Conference Centre with all delegates being together for these two meals. However, breakfasts will be served in individual hotels.

Q: Can you tell me the cost of registration, please?  Also, the lodges, is the cost just for two nights, which seems very expensive.

A:  The delegate registration fee will be published on 8 March to all clubs as part of 'Delegate Registration/Hotel Booking Part1'
The weekend delegate rate for the 4 star Luxury Lodges covers two nights and is the same rate per person as the 4 star Hotel option. Information on extra nights accommodation will be available as above - at the moment we believe there is a very good rate for staying an extra night (Sunday) in the Lodges. Within four weeks of receiving a club's delegate registration, the club contact will receive instructions on how accommodation should be booked/confirmed directly with the venue - it is at that stage that extra nights can be booked.

Q: Is breakfast part of the weekend rate for delegates staying in lodges?

A: Yes. Breakfast will be available in one of the resort restaurants.
